A Training Meeting on the Monitoring Process of the 2024-2028 Strategic Plan was held.

As part of the monitoring activities for the Gazi University 2024-2028 Strategic Plan, the "6-Month Monitoring Data Collection Process Training Meeting" was organized. During the meeting, information was provided about the monitoring, evaluation, data compilation, and processing processes of our university's 2024-2028 Strategic Plan.

The online meeting was attended by the assistant vice president responsible for strategic planning activities, KVYS unit data entry officers, and unit strategic planning team members.

In his speech, Vice Rector and Deputy Chairman of the Strategy Development Board Prof. Dr. Ramazan Bayındır stated that the first six-month monitoring process of the Gazi University 2024-2028 Strategic Plan, which was implemented starting in January 2024, began with the collection of data from units via KVYS for calculating performance indicators. Prof. Dr. Bayındır mentioned that an official letter regarding this issue was sent to the units, and the system was opened for data entry.

Prof. Dr. Ramazan Bayındır emphasized that monitoring our strategic plan on a six-month basis has become a systematic process not only to fulfill legal requirements but also to support the contribution of the plan to the institution’s development. "The regular monitoring of our performance indicators and targets provides us with opportunities to intervene on time, increasing the achievement rates of the plan. In this context, just as in the previous planning period, this plan period will also see our Strategy Development Board, in collaboration with our Enterprise Data Management Coordinatorship, collecting numerical data related to performance indicators from the relevant units via KVYS and preparing a Monitoring Report, which includes indicator and target achievements and evaluations," he said.

Prof. Dr. Bayındır emphasized that the first step in the upcoming monitoring process is to collect reliable and accurate data from the units in a timely manner. He noted that in our university's strategic plan, a single administrative unit is assigned responsibility for each goal and stated that all university units share the responsibility for implementing performance indicators and providing related data.

Prof. Dr. Ramazan Bayındır added that there are some expectations from unit managements to ensure the healthy execution of the data collection process in the units. He continued, "Firstly, in the context of the 2024-2028 Strategic Plan activities, creating a shared understanding of performance indicators in the units and minimizing data loss is essential. The Performance Indicator Operational Definitions, developed by the Strategy Development Board in cooperation with the relevant units, have been added to each performance indicator as explanations in KVYS to guide you. It is crucial for the managers and staff entering and verifying the data in the units to pay attention to these definitions for the reliability and consistency of the data."

Prof. Dr. Ramazan Bayındır also pointed out that another important issue to consider when entering data related to indicators is ensuring the consistency of the data by verifying the numerical values entered into the system when determining the baseline values for the indicators.

Although the data entry into the system will be carried out by the Unit Data Officer defined in KVYS, Prof. Dr. Bayındır emphasized that the responsibility for the data entered into the system directly lies with the unit managers. He stated, "Data entry into the system will be completed by July 5, 2024, and in the next phase, the collected data will be checked by the Enterprise Data Management Coordinatorship and the Strategy Development Department, and the Strategic Plan Monitoring Tables will be prepared. If any inconsistencies are found during the data verification process, the relevant unit management will be contacted. Therefore, the evidence related to the data collected in the units must be archived by the Unit Managements. After confirming the data, the completed Strategic Plan Monitoring Tables will be evaluated by our Strategy Development Board, and the GÜ 2024-2028 Strategic Plan Monitoring Report will be prepared and shared at a meeting with the participation of internal and external stakeholders, scheduled to be held between July 16-19, 2024."

Prof. Dr. Ramazan Bayındır emphasized the great importance of ensuring that the data collection process, which is the most critical phase of the strategic plan monitoring activities, is carried out under the ownership and coordination of the unit managers.

After Prof. Dr. Ramazan Bayındır's speech, Prof. Dr. Fatih Emre Boran, the Enterprise Data Management Coordinator of our university, provided information about the form developed for data collection in the Enterprise Data Management System. The meeting concluded after a Q&A session.
